For a PEM electrolyzer sourced from China, align the shipped equipment with the contract and document set before dispatch. The model, configuration, quantities and responsibilities should remain consistent across commercial, packing and technical records. Resolve destination-specific requirements with the buyer’s qualified advisers.
This checklist supports procurement coordination. It is not a list of documents guaranteed to satisfy every customs authority, carrier or installation jurisdiction.
1. Freeze equipment identity and supply scope
Use the accepted quotation and equipment list to identify the system or stack, accessories, spares and optional items. Agree how serial numbers and package numbers will connect the delivered equipment to the test and handover records.
Separate equipment supply, shipping services, on-site installation and local approval responsibilities. If a configuration changes after order, update the relevant documents through a controlled revision rather than leaving different models on different records.
2. Prepare a document responsibility register
| Document group | Details to reconcile | Responsible party to agree |
|---|---|---|
| Commercial records | Seller/buyer identity, equipment description, quantities and delivery basis | Exporter and buyer |
| Packing information | Package IDs, dimensions, weights and contents | Supplier, packer and forwarder |
| Equipment identity | Model, configuration, serial references and accessory list | Supplier and buyer technical reviewer |
| Technical handover | Manuals, drawings, utilities, operating requirements and test records | Supplier and integrating party |
| Destination requirements | Required declarations, approvals, languages and import information | Buyer with local specialists and relevant authorities |
| Transport preparation | Shipment condition, handling, preservation and carrier documents | Supplier and appointed logistics provider |
3. Request relevant conformity evidence early
If a declaration, certificate, inspection or third-party report is required, identify the exact document, issuer, covered model and intended market. Confirm availability and scope before placing the order. A logo on a brochure does not establish that a particular delivered configuration is covered.
Do not assume that one certificate meets all import, electrical, pressure-equipment or site requirements. The buyer should define the destination review with the relevant local specialists. Keep unresolved evidence items visible in the contract and shipment-readiness checklist.
4. Review packing and transport preparation
Ask for the proposed packaging, lifting and handling information, preservation conditions and storage instructions. Give the supplier the planned transport mode and route constraints. Have the appointed forwarder or carrier confirm any shipment-condition and declaration requirements.
Any equipment preparation involving water, pressure, gas circuits or electrical assemblies should follow the manufacturer’s approved procedure. This purchasing checklist does not provide draining, purging or transport-safety instructions.
5. Release shipment against agreed records
Compare the packing list with the accepted equipment list, agreed photos or inspection records and available serial references. Track missing documents separately from physical shortages. Decide who is authorised to release shipment and how outstanding items will be closed.
Use the supplier document due-diligence checklist for earlier qualification. Review PEM systems or PEM stacks when defining the equipment scope.
Plan the equipment and document package
Send your company, destination country, equipment type, required configuration, expected shipping mode, target delivery date and document requirements confirmed by your buyer, broker or local reviewer.
